Automated Process Documentation

Automated Process Documentation

Automated Process Documentation

To document a process, open Fluency and start recording.

With Fluency sitting in the background, simply perform the process you want to document.

Fluency's AI takes the inputs from your recorded process and automatically generates contextual step-by-step documentation.

Basic Tutorial

Basic Tutorial

If you are documenting a process on a Windows or Mac desktop application, simply launch the Fluency application on your desktop and log in.

Once you have created an account and logged in, click the 'Record New Process' button to begin recording your first process.

Fluency will prompt you to give your process a title and description.

We recommend giving as much detail as possible, as this will inform the AI model.

Additionally, you will be prompted to adjust the intelligence of the AI model to improve the accuracy of the step descriptions. We recommend using a 'Smarter' model, which will take 15-30 more seconds on average.

Automated Process Documentation - How To

Why Automate Documentation?

Why Automate Documentation?

Documentation is critical to most businesses - the repeatable, 'Business as Usual' tasks that get documented typically are the backbone of operations. If you've ever manually written any business document - such as an internal guide, S.O.P, or 'how-to', you know how tedious it is.

Manually, it involves typing out each step in Word or Confluence and pasting in screenshots. Since this takes so long, and is tedious work, companies have to decide: either spend a ton of time and money on process documentation, or skip it all together.

Automating this process has a wide array of benefits.

Operational Efficiency

Automation significantly cuts down the time needed to document processes. Automated systems reduce human error, ensuring documentation is accurate and consistent. Automated Process Documentation tools have previously generated simple 'Click Here' step descriptions.

Cost Reduction

Automating the repetitive and tedious task of documentation can reduce the need for manual labour, thus saving on staffing costs costs. By freeing up employees' time on documentation, they can redirect their attention to focus on higher-value initiatives instead of routine documentation tasks.

Compliance and Standardisation

Automatically updated documentation helps ensure that processes remain compliant with industry regulations and standards. Plus, it helps in standardising documentation across the organisation, which is crucial for maintaining quality and uniformity. A central source of truth means that external auditors have an easy entry point to view processes, leave comments and provide actionables. Knowledge Sharing and Management Automatically generated documentation in a central repository is much easier to search and access, which facilitates better knowledge sharing across the organisation. When documentation is no longer scatted across systems, it can be more securely stored (powered by AWS), preventing data loss.

Scalability and Flexibility

As businesses grow, automated systems can easily scale to accommodate increased demands without the need to exponentially increase resources for documentation. Automated Process Documentation encourages staff to continuously refresh processes, as it doesn't take a lot of tedious manual work to document.
